2. What Information We Collect
When you create an account:
- Name and email address
- Password (we store a salted hash only; we never store or have access to your actual password)
- Company name (if provided)
When you use VeySur:
- Survey content you create
- Responses you collect from participants
- Usage data (features used, login times, project activity)
- Device and browser information
- IP address and location data
When you pay for a subscription:
- Payment card details (processed by Stripe - we don't store card numbers)
- Billing address
- VAT number (for VAT-registered businesses in the EU/UK)
- Transaction history
Cookies and tracking:
- Essential cookies (for login and security)
- Analytics cookies (to improve our service)
- Cookie preferences
3. How We Use Your Information
To provide the service:
- Create and manage your account
- Host your surveys and collect responses
- Process payments and send receipts
- Provide customer support
To improve VeySur:
- Analyse usage patterns (anonymised)
- Fix bugs and add features
- Monitor performance and security
To communicate with you:
- Send service updates and notifications

4. Who We Share Information With
Service providers we use:
- Stripe (payment processing)
- EU data centre provider (data storage and hosting)
- Google LLC / Google Analytics (website analytics, marketing and account management sites only)
- Zoho Corporation Pvt. Ltd. (customer service email)
We never:
- Sell your personal information
- Share your data with third parties, except where necessary to provide the service (see the providers listed above)
- Use your survey content for our own purposes
When required by law:
- Legal requests from authorities
- To protect our rights or safety
- In connection with a business merger or acquisition (we'll notify you)
5. Survey Participant Privacy
If you collect survey responses:
You are the data controller for participant data. You must:
- Provide participants with your own privacy notice
- Get proper consent to collect responses
- Comply with GDPR and other privacy laws
- Respect participant rights (access, deletion, etc.)
What we do:
- We process participant data only on your instructions
- We provide security measures to protect responses

6. How We Protect Your Information
Security measures:
- Encryption in transit (HTTPS/TLS)
- Encryption at rest for all customer data
- Regular security testing and updates
- Access controls and authentication
Your responsibilities:
- Keep your password secure
- Don't share your login credentials
- Report suspicious activity to support@veysur.com
No system is 100% secure. We can't guarantee absolute security but we use industry-standard practices.
7. How Long We Keep Information
Active accounts:
- We keep your data while your account is active
- You can delete data anytime (see Section 9)
After account deletion:
- Most data deleted immediately
- Some data retained for legal/accounting purposes
- Backups deleted within 3 months
Specific retention periods:
- Payment records: 7 years (UK tax law requirement)
- Fraud prevention (paid accounts only): 4 months after account deletion
- We retain: transaction records, account identifier, email address, IP addresses
- Purpose: Handle chargebacks, payment disputes, and prevent fraud
- Legal basis: Legitimate interests (fraud prevention) and defence of legal claims
- We do NOT retain your survey content or response data for this purpose
- Support tickets: 2 years
- Usage logs: 12 months
Account status and deletion:
If you delete your account yourself:
- You can recover your account within 1 month; after that, it's permanently deleted
- Individual projects within your account also get a 1-month restore window by default, but you can choose to permanently delete a project immediately instead
If we terminate your account:
- You get 1 month to export your survey data before deletion
- You can recover your account within this 1-month period; after that, it's permanently deleted
If your subscription expires or is cancelled:
- Your project reverts to the free plan (no deletion)
- All your survey data remains accessible
- If your resource usage exceeds the free plan's limits, you have 1 month to bring it within those limits before any resources are automatically deleted
If we suspend your account:
- We temporarily disable access (for investigation or legal reasons)
- Your data is not deleted during suspension
- We restore access once the issue is resolved
Survey participant data:
- For data you collect from survey participants, see our UK DPA or EU DPA
- You control when this data is deleted (you are the data controller)
8. International Data Transfers
Where your data is stored:
- Account data (the information needed to provide the Services, e.g. your name, email, and billing details): stored securely in the UK
- Project data (your surveys, questions, and responses): always stored within the European Economic Area (EEA), including backups
Transfers outside UK/EU:
- We may use some service providers in other countries (e.g., Stripe for payments, Google Analytics for website analytics)
- We use adequacy decisions or Standard Contractual Clauses for any non-EU transfers
- Your data is protected to UK and EU GDPR standards
9. Your Privacy Rights
You have the right to:

Exceptions to deletion:
We may need to keep some data for:
- Legal obligations: Tax records (7 years), court orders, regulatory requirements
- Fraud prevention: Transaction records for 4 months after account deletion (paid accounts only)
- Legal claims: Data needed for ongoing disputes or investigations
- Completing transactions: In-progress payments or refunds
If a legal obligation prevents us from deleting your data immediately, we will:
- Notify you (unless prohibited by law)
- Only use the data for the required legal purpose
- Delete it once the legal obligation is lifted
Complaints: Contact the ICO (UK) or your local data protection authority if you're unhappy with how we handle your data.

13. Changes to This Policy
When we update this policy:

- Email you about material changes
- Give you 1 month's notice before changes take effect
Continuing to use VeySur means you accept the updated policy. If you don't agree, you can close your account.
